A school calls early in the morning. A teacher is absent, lessons begin soon and the agency needs to confirm suitable cover quickly.
Speed matters, but a fast booking is only useful when the school, recruiter and teacher share the same information.
A practical same-day supply checklist helps the agency move quickly without allowing important details to disappear between the call, candidate search and arrival at the school.
Capture the school’s actual request
Begin with the information needed to understand the assignment. Record the school, site, date, expected hours and the person requesting cover.
Clarify the role rather than relying on a broad label. “Teacher needed” may hide the year group, subject, timetable, supervision duties or level of experience the school expects.
Useful questions include:
- What role, subject or year group needs cover?
- Is the booking for the full day or specific hours?
- Which site and entrance should the teacher use?
- Who should they report to on arrival?
- Are there particular duties, resources or instructions?
- Has the school specified any essential qualification, experience or agency-verified requirement?
Record confirmed facts separately from preferences. If the school would prefer a particular teacher but will consider another suitable candidate, make that distinction visible.
Check suitability before availability
The first person to answer the phone is not automatically the right person for the booking.
Review the candidate against the school’s confirmed requirements and the agency’s approved compliance process. Check the information that your organisation requires before a candidate can be offered work, and do not assume that a previous booking proves everything remains current.
If a status or document is unclear, follow the agency’s escalation procedure. Same-day pressure should not turn an unresolved requirement into an informal exception.
Reconfirm the teacher’s availability
Availability can change between an earlier update and the morning call.
Speak to the teacher and confirm that they are available for the full assignment, can reach the school on time and understand the nature of the role. Ask about any practical issue that could affect arrival.
Give them enough information to make an informed commitment. Avoid presenting an unconfirmed possibility as a completed booking.
Once the teacher accepts, record the time and method of confirmation. This helps colleagues distinguish between contacted, interested, accepted and fully confirmed.
Confirm the booking with the school
Tell the school who has been selected and confirm that the candidate meets the agreed booking requirements under the agency’s process.
Repeat the key details: teacher, role, site, expected arrival and any specific instructions. If the school changes the request during confirmation, update the booking before sending the teacher their final details.
A verbal agreement can move the booking forward, but the agency should still create a clear record of what was confirmed and by whom.
Send one complete arrival brief
A teacher should not need to reconstruct the assignment from several messages.
Provide one clear brief containing:
- school name and full site address;
- arrival time and expected finish time;
- role, subject or year group;
- reporting contact and reception instructions;
- parking, public-transport or entrance information where supplied;
- items or identification the agency has told them to bring;
- known duties or timetable details; and
- the agency contact for problems before arrival.
Use the school’s confirmed instructions. Do not fill gaps with assumptions simply because the morning is busy.
Practical example: the right teacher, the wrong entrance
At 06:45, a school requests a primary teacher for a Year 4 class. The recruiter identifies an available, suitable teacher who has worked at the school before.
The previous booking record shows the main reception address, so the recruiter sends it without asking whether anything has changed. The teacher arrives to find the entrance closed while pupils and staff now use a temporary gate on another road.
The teacher is suitable and on time, but the handover is incomplete.
A short confirmation with the school would have captured the temporary entrance and the name of the staff member meeting the teacher. The recruiter could have sent one accurate brief and prevented an avoidable delay.
Good same-day recruitment is not only about finding a person. It is about getting the right person to the right place with the right information.
Make changes visible immediately
Morning bookings can change quickly. A teacher may become unavailable, the school may no longer need cover or the assignment may move to another class.
Update the booking record, not only the latest message. Notify everyone affected and confirm that the change has been received.
If a replacement is required, keep the original outcome clear. This prevents two teachers being sent for one booking or colleagues continuing to chase an assignment that has been cancelled.
Check arrival without creating noise
Agree how arrival will be confirmed. Depending on the agency’s process, that may be a brief message from the teacher, acknowledgement from the school or a recruiter check-in when something appears delayed.
Use the confirmation to address problems early. If the teacher cannot find the site or the school cannot locate the booking, the recruiter should be able to see the agreed contact and instructions without searching through private inboxes.
Review the morning, not just the filled jobs
At an appropriate point, review unfilled requests, late arrivals, cancellations and bookings that changed after confirmation.
Look for patterns. Repeated missing site instructions may require better client records. Teachers regularly declining one type of booking may show that availability or preferences need updating. Last-minute compliance questions may reveal a preparation gap before the morning desk opens.
Start with one rule: every active booking should show the school’s request, the confirmed teacher, the arrival brief and the current status.
